We respect the privacy of your information. This document explains what personal information we collect and how we use it.
The Information We Collect
When you register with Country Glen, we collect and store information about your familiy including names, address, email addresses, telephone numbers, date of birth and other personally identifying information.
In addition, we automatically gather general statistical information from our web server such as IP addresses, browsers, pages viewed, etc., but in doing so we do not reference you by individual name, e-mail address, home address, or telephone number.
The Way We Use Information
We use this information to manage our Club membership, to contact you regarding club membership matters, and for regular club communications such as newsletters, notifications about special events, etc. We use this information to manage admission into our facility, and for any other purpose required for us to comply with Club Bylaws.
We use statistical information about your use of the club website to better understand your interests and needs and to improve the website over time.
You information may be shared with 3rd parties who are involved in the operation of Country Glen, including our pool management company, coaching staff, program leaders, etc.
If your child is enrolled in one of our Teams (such as Swim or Dive), we use your information to place your child in the correct age group for practices & competitions. Your childs’ name and birthdate will be shared with teams we compete against and with the governing sports league (such as MCSL / MCDL). Your information will also be shared with our coaching staff and administrative volunteers for the purpose of running the teams and managing team events.
In the course of our operations, we may use your personal information in conjunction with various online services we use to manage the club such as email distribution services, volunteer signup tools and invitation management services (e.g. “evite”).
In the event of an injury or medical emergency on our premises, your information may be shared with first responders, medical staff, insurers or others as may be required. We will share your information with others if required by law.
We will not sell you personal information to third parties (such as marketing firms) and will not share your information with organizations not connected with Country Glen as outlined above.
Security & Information Access
We employ reasonable and current security methods to prevent unauthorized access to your information. This includes the use of password protection and encryption.
Access to your information is limited to those who “need to know”. This includes the Club Board of Directors, our management company, coaching staff and volunteers.
Country Glen accepts payments by credit card on its website. This function is fully outsourced to a 3rd party processing company who have certified compliance with Payment Card Industry (PCI) security policies & procedures. Country Glen does not store or have any access to your credit card information.
No data transmission over the Internet or any wireless network can be guaranteed to be perfectly secured. As a result, while we try to protect your personal information, we cannot ensure or guarantee the security of any information you transmit to us, and you do so at your own risk.
We reserve the right, at our discretion, to change, modify, add, or remove portions of this policy at any time. We will inform you of any such changes
